How to use IntraFax.

Reading faxes.

    After you log in to IntraFax, the list of received faxes appears. You see the Inbox folder.

    To read a fax, click the desired item in the list of received faxes.

    Clicking Zoom makes the fax view larger or smaller. The Rotate button lets you turn a fax.

    Click Download to save the open fax as a graphics file on your local system.

    NOTE: IntraFax updates for new faxes and fax notices when you log in and each time you click Update.

    Click the Folders button to return to the list of received/sent faxes.

    To delete a received fax, select the fax you want to delete. Click Delete. When prompted, confirm the deletion.

Sending a fax.

    To create a new fax, click New Fax. The outgoing fax window opens. Click Address Book to select recipient(s) from the fax address list. If recipient(s) don't exist you must create it by clicking New Entry in the Address Book Screen.

    The cover page contains the Name, Subject, and Cover page message boxes.

    Type a fax message. If your fax does not have a cover page, we suggest that you indicate the recipient's name(s) at the beginning of your FAX CONTENTS.

    Click Spell to run the spell checker on the cover page, if desired.

    To base a new fax on an existing fax, select or open the fax, then click Forward. Address the fax and, optionally, type a message in the cover page. You cannot add to the body of a forwarded fax.

    When your fax is composed and addressed, click Send. IntraFax transfers the fax to your fax server for transmission. You may immediately end your IntraFax session: the fax server is now responsible for sending the fax.

Checking the status of an outgoing fax.

    To check that a fax is queued for transmission, open Outbox folder.

Ending an IntraFax session.

    Always click the Exit button to end your IntraFax session.

Address Book.

    Opens address list. To display different Address Books select the Address Book and click Change. To perform search in the Address Book select search criteria and click Search.

    Select a group name and click Properties to see the names of the group members.

    You may add the entire group to the fax destination list, or select individuals. Use the Shift or Control key to select multiple recipients.

Delete.

    Deletes the selected item.

Download.

    Saves the open fax as a graphics file on your local system. Select a file type and follow the prompts of your browser. Note that some formats download only the current page; while other formats download all pages.

Exit.

    Terminates your IntraFax session. To regain access to your faxes through IntraFax, you must log in again, starting a new session.

Folders.

    Lets you select folder.

Forward.

    Treats a received fax as an outgoing fax, requiring an Address and giving the option of a cover page.

New Fax.

    Displays a new fax window for composing a new fax.

Rotate.

    Click on the 90°, 180°, or 270° sector of the button to turn a displayed fax. All angles refer to the original orientation of the display. Therefore, clicking twice on the 90° sector does not turn the fax 180°. The fax simply remains at 90°. Applies to the entire fax, not just the current page.

Send.

    Sends an outgoing fax to the fax server for transmission.

Spell.

    Checks the spelling of a composed fax. Any words not found in the spelling dictionary are displayed as a link word. When you click on the link word, the misspelled word appears, with any alternatives the program can identify. When you have corrected all misspellings, click Done.

Update.

    Checks the fax server for any new faxes or activity notices.

Zoom.

    Click + on the Zoom button to enlarge the view of the displayed fax. Click - on the Zoom button to reduce the view of the displayed fax. Clicking again repeats the action. Zooming applies to the entire fax, not just the current page.


Troubleshooting

Send window disappears after selecting a recipient

Usually this happens in Microsoft Internet Explorer when you have already sent a fax and try to send another one. The reason is that the browser takes the pages from the local disk cache and doesn't download them from the IntraFax server. You can prevent this happening in two ways:

  • Press F5 (refresh) in "New Fax" window before selecting recipients, or
  • Microsoft Internet Explorer specific: Set the value of "Check the newer versions of stored pages" to "Every visit to the page". You can modify this setting with the "Internet Options | General | Temporary Internet files | Settings" button. The "Internet Options" dialog box is in "View" menu in IE 4.0 and in "Tools" menu in IE 5.0.
